Best multifunction printers for small offices in India

Best Multifunction Printers for Small Offices in India (Print, Scan, Copy)

A multifunction printer replaces a printer, scanner and photocopier with one machine. For a small office that saves space, money and time, but only if you choose one with the right features. Pick one without a document feeder and you'll spend hours scanning a page at a time. Pick one that's too small and it will break down under the workload.

This guide explains the features that matter, how to match a machine to your office, and which HP multifunction printers suit which kind of team.

The short answer

If your office... Look for
Is 1 to 3 people, with light printing and some colour An ink tank multifunction, such as the HP Smart Tank 520
Is 3 to 6 people, with mostly black-and-white documents A mono laser multifunction, such as the HP LaserJet Pro MFP M126nw
Scans stacks of documents or prints two-sided often A model with an ADF and automatic duplex, such as the HP Smart Tank 750 or HP OfficeJet Pro 9130b
Needs colour, fast scanning and fax A business inkjet all-in-one, such as the HP OfficeJet Pro 9130b

What "multifunction" means

A multifunction printer (MFP or all-in-one) can print, scan and copy. Some also fax, and some can scan to email or to a network folder. If you don't use fax, you don't need to pay for it.

Features that matter most

ADF (automatic document feeder)

A feeder takes a stack of pages and scans or copies them one after another. Without one, you place each page on the glass by hand. If you handle multi-page contracts, invoices or forms, an ADF saves a lot of time.

Duplex printing

Duplex means printing on both sides of the paper automatically. It saves paper and makes documents look more professional. Without it, you flip the pages by hand.

Duplex scanning

Some machines with an ADF can scan both sides of a page in one pass. This is useful for ID cards, forms and double-sided documents.

Wi-Fi and Ethernet

Wi-Fi lets laptops and phones print without cables. Ethernet gives a stable wired connection for shared office printers. If more than one or two people use the machine, one of these is important.

Mobile and cloud printing

Check that the printer works with your phones, ideally through the HP Smart app.

Paper tray capacity

A bigger tray means fewer refills. A second tray helps if you use different paper.

Flatbed only vs ADF

Laser vs inkjet vs ink tank multifunction

  • Laser: fast and sharp for text, and toner doesn't dry out if you print only now and then. Good for black-and-white document work.
  • Ink tank: very low cost per page, especially in colour, and a good fit if you print a lot of colour. The printer costs more than a basic inkjet.
  • Cartridge inkjet: the lowest upfront price, but refills usually cost more per page, so it suits very light use.

Our guide to laser vs inkjet vs ink tank printers goes into more detail, and our printer running cost guide shows how to work out your real cost per page.

How much can it handle?

Two numbers are easy to confuse:

  • Recommended monthly volume is the number of pages a month the printer is designed to handle comfortably, day after day.
  • Duty cycle is the maximum a printer can manage in a month without being damaged. It is a limit, not a target.

Choose a printer whose recommended volume covers your normal use, and use the duty cycle only as a safety margin. A machine that regularly runs near its maximum will wear out sooner.

Choose by office size

Office size What to prioritise
1 to 3 people Low running cost, small size, Wi-Fi
4 to 10 people Network connection, an ADF, duplex printing, decent speed
10 to 25 people Higher volume, fast speed, large trays, and possibly more than one machine

If your office is growing, buy for the team you'll have next year, not only today.

HP Smart Tank 520: for a home office or a very small team. It prints, scans and copies using refillable ink tanks, with a flatbed scanner and manual two-sided printing. It prints up to 12 pages per minute in black and 5 in colour (ISO). A good choice if you print some colour and want low running costs. It has no document feeder.

HP Smart Tank 750: for a busy small office on a budget. It adds automatic two-sided printing, a 35-sheet document feeder and Wi-Fi with Ethernet. It prints up to 15 pages per minute in black and 9 in colour (ISO), and HP rates it for up to 5,000 pages a month.

HP LaserJet Pro MFP M126nw: for a black-and-white office. A mono laser multifunction that connects by USB, Ethernet or Wi-Fi, so a small team can share it. It prints about 21 pages per minute and is rated for up to 8,000 pages a month. It has a flatbed scanner and manual two-sided printing.

What to check before you buy

  1. Toner or ink availability. Check that the refills are easy to get. Our guide to choosing the right HP toner cartridge can help.
  2. Warranty. Confirm the brand warranty and keep your invoice.
  3. Software support. Check that the printer works with your operating system.
  4. Size. Measure the space where it will go, including room to open the lid and trays.
  5. Cartridge rules. Some newer HP printers only accept cartridges with an HP chip, so check this if you plan to use anything other than genuine toner.
  6. "Managed" models. Printers with "Managed" in the name are designed for service contracts, so check warranty and toner supply first. Our managed print services guide explains why.

Mistakes to avoid

  • Buying without an ADF when you scan multi-page documents
  • Choosing by price alone and ignoring the cost of refills
  • Buying a printer rated for much less than you print
  • Forgetting that duty cycle is a limit, not a normal workload
  • Mixing different models across the office, which means different supplies for each
  • Skipping the warranty check

Buying for several offices?

If you need machines for more than one branch, standardise on one model so you keep a single type of toner. For bulk pricing and GST invoices, see our guide to buying office supplies in bulk or send your requirement on our Bulk Orders and B2B enquiry page.

Frequently asked questions

What is the best multifunction printer for a small office?
It depends on what you print. For black-and-white documents, a laser such as the HP LaserJet Pro MFP M126nw. For colour, an ink tank or business inkjet such as the HP Smart Tank 750 or HP OfficeJet Pro 9130b.

Do I need an ADF?
If you scan or copy multi-page documents often, yes. If you only scan the odd page, a flatbed is enough.

What is duplex printing?
Printing on both sides of the paper automatically. Some printers do it manually, where you flip the pages yourself.

What is the difference between recommended volume and duty cycle?
Recommended volume is what the printer handles comfortably each month. Duty cycle is the maximum limit, so don't treat it as a target.

Is a multifunction printer cheaper than separate machines?
Usually yes, and it saves space too. A single machine replaces a printer, scanner and copier.

Are the printers on WERY genuine?
Yes. WERY sells 100% genuine products with official brand warranty.
